Describe a time when you made a plan to do an activity with a lot of people

One time I made a plan to do an activity with a lot of people was when I organised a weekend football match and picnic for my university classmates. It was just after our final exams, so everyone wanted to relax, but the problem was that there were nearly thirty people involved, and they all had different schedules. I suggested going to a public sports field on Saturday morning and then having a simple picnic afterwards. To make it work, I created a group chat, asked people to vote for the most suitable time, and divided the tasks quite clearly. Some people were in charge of bringing food and drinks, a few classmates prepared football equipment, and I contacted the sports field in advance to check whether we needed to book it. I also made a rough timetable, because I knew that if everything was too vague, people would probably arrive late or forget what they had to bring. In the end, the activity went much better than I expected. Almost everyone showed up, the match was really lively, and the picnic gave us a chance to talk and take photos before the semester ended. I felt quite proud because coordinating a big group can be stressful, but it taught me how important clear communication and flexibility are. It was not a perfect plan, but it created a really memorable day for all of us.
